It is perfect for employees who want the full picture, and for HR teams checking leave across different categories.
How to use the leave calculator
- Enter granted and used days for vacation.
- Do the same for sick days and personal days.
- Click calculate to see each balance plus your grand total.
- Leave any bank at 0 if your employer does not offer it.
Leave types this calculator covers
Most employers split leave into a few standard banks.
- Vacation days: planned paid leave for rest and travel. This is usually the biggest bank.
- Sick days: paid leave for illness or medical care. Many states now set minimums by law.
- Personal days: short paid leave for private matters, often used one day at a time.
If your company uses one combined PTO bank instead of separate banks, our time off calculator is the better fit. It tracks a single balance with accrual.
How to calculate leave balance
The rule is the same for every bank: granted minus used equals remaining.
Here is a worked example. David gets 15 vacation days and has used 5, leaving 10. He gets 10 sick days and has used 2, leaving 8. He gets 5 personal days and has used 1, leaving 4. His grand total is 22 days remaining.
The calculator repeats this for each bank and adds the totals, so you see everything at a glance. Enter your own numbers above.
Why separate banks matter
Mixing banks causes real problems. Using a sick day for a beach trip can leave you uncovered when flu season hits. Burning vacation days on appointments wastes the long trips they were meant for.
Tracking each bank separately protects you. It shows which balances are healthy and which need guarding. That is the whole point of this calculator: one view, three banks, no mixing.
Leave calculator for HR teams
HR staff can use this tool to sanity check balances for any employee. Enter the granted amounts from the HR system and the used amounts from timesheets, and compare the result with what the system shows.
For accrual based plans, where leave builds up each pay period, our PTO accrual calculator gives the detailed math. For sick leave specifically, the sick leave accrual calculator tracks it on its own. When balances look wrong, compare the calculator result against the HR system line by line to spot which bank is off.
Tips to manage multiple leave banks
- Track each bank separately so sick days never eat into vacation.
- Use vacation early for big trips, and keep sick days untouched for real illness.
- Check which banks roll over and which expire. Personal days often expire first.
- Review balances monthly, not just in December when it is too late.
- Know your state sick leave law. Some states require payout or carryover that your handbook may not mention.

Frequently asked questions
How do I calculate my total leave?
Add the remaining balance of each leave bank: vacation, sick, and personal days. The calculator above does it for you.
What is the difference between vacation and personal days?
Vacation is usually planned ahead for longer breaks. Personal days are short, often single days for private matters.
Do sick days expire at year end?
It depends on your employer and state law. Some allow carryover, others reset the bank each year.
Should I track leave in hours or days?
Days are simpler for planning. If your company tracks hours, our PTO hours to days calculator converts instantly.
What if my employer uses one PTO bank?
Then use our time off calculator instead. It tracks a single combined balance.
Can I carry over unused personal days?
Rarely. Personal days usually expire at year end, so use them first.
Which leave bank should I use first?
Use the one that expires first, usually personal days, then vacation near the rollover cap. Keep sick days for actual illness.
Can my employer ask why I need a personal day?
Policies vary, but many employers cannot demand details for a single personal or sick day. Check your handbook.
Can I donate leave to a coworker?
Some employers run leave sharing programs that let you give vacation days to a colleague facing a medical emergency. Ask HR if your company offers one, and check whether donated days keep their cash value.
