What counts as vacation time?
Vacation time is paid leave set aside for rest, travel, and personal enjoyment. It is the part of your leave you plan ahead, unlike sick days which arrive unannounced.
Some employers keep vacation in its own bank. Others roll it into one PTO bank. Our time off calculator tracks a combined bank if that is how your company works. If you want every leave type side by side, our leave calculator covers vacation, sick, and personal days together.
How vacation time accrues
Many companies add vacation hours to your balance every pay period. Others grant the full year at once in January.
If yours accrues, the formula is: hours per pay period x pay periods worked. Enter both numbers above and the calculator handles the rest. For a deeper per paycheck breakdown, try our vacation accrual calculator.
A quick example: 4 hours per pay period over 12 periods gives 48 hours, which is 6 full days off. Small per paycheck amounts turn into real trips by mid year.
A worked example
Lisa gets 80 hours of vacation per year. By July she has used 24 hours on a spring break trip. Her remaining balance is 56 hours, which equals 7 days off.
She wants a 10 day summer vacation. She is 3 days short. Her options: wait for more accrual, borrow against next year if her policy allows, or shorten the trip. The calculator makes this gap visible before she books anything non refundable.
Vacation time vs PTO
Vacation time and PTO overlap, but they are not always the same.
- Vacation time is usually planned ahead for trips and rest, and it often sits in its own bank.
- PTO is the wider bank. It can cover vacation, personal days, and sometimes sick days.
If your employer gives you separate banks, track vacation here and everything else with our paid time off calculator. If it is all one bank, either tool works.
Common vacation planning mistakes
- Booking before checking the balance. Always run your numbers first. A denied request is worse than a delayed trip.
- Forgetting about blackout dates. Retail, hospitality, and healthcare often block holidays. Ask early.
- Letting days expire. Use it or lose it policies are real. Check your balance in October, not December.
- Not counting travel days. A 7 day trip needs 5 vacation days, not 7, but the weekends around it still matter for planning.
Tips to plan your vacation time
- Book big trips 3 to 6 months ahead for better prices and smoother approvals.
- Check your balance before requesting dates, so approvals go through the first time.
- Save a few days for the holiday season when everyone wants off.
- Know your rollover cap so days do not expire on January 1.
- Attach vacation days to public holidays. Our holiday leave calculator shows how 3 days can become 9.
